Job Scope for University Guidance Counselling Head

The position will require the candidate to setup the University Guidance Counselling unit in a school context. The specific functions of this University Guidance Counselling unit is to:

  • Lead and manage University Guidance Counselling
  • Establish partnerships with Universities in Singapore, Malaysia, Australia and New Zealand to provide progression pathways for our VHS student.
  • Negotiate placement agreements with selected partner universities for students
  • Keep up to date with the policies and be well acquainted with the application procedures and dates at each university.
  • Develop a structured holistic university guidance counselling programme
  • Provide advice on career guidance and university admission opportunities.
  • Coordinate the organisation of regular university admission activities that include workshops and training sessions.
  • Produce information on university admission and placement opportunities at universities including a database on universities in Singapore, US, UK, Australia and New Zealand
  • Assist students in university applications to good universities
  • Liaising with universities in relation to students’ application, and developing relations and understanding with these universities
  • Provide advice and guidance to colleagues involved in supporting student with the university application process
  • Maintain a database on students’ final progression destinations

Requirements:

  • Professional qualification in Career & Guidance Counselling or related (essential)
  • Able to communicate in both English and Mandarin
  • Minimum of five years of work experience as a University Guidance Counsellor in a tertiary institution

Role

Working under the direction of the teacher to assist in the general teaching of children, preparation of the classroom and resources, assisting with display and attending and contributing to, lesson planning.

Accountable to: Head of Junior School

General Duties

Support the pupils by:

  • Undertaking activities with individuals, groups or a class of children in order to facilitate their physical, emotional and educational development within a safe environment, usually under the supervision of a teacher.
  • Working to establish a supportive relationship with the children and parents concerned in order to facilitate effective communication and partnership between school and home where appropriate.
  • Carrying out pre-determined educational activities and work programmes ensuring that specific guidelines are followed whilst promoting independent learning to support the children’s understanding.
  • Promoting and reinforcing the child’s self-esteem and encourage the child to maximise their achievement and development.
  • Attend planning meetings and under the overall direction and guidance of the teacher, contribute to the short, medium and long term planning and preparation of lessons.
  • Help pupils make progress in a range of classroom settings including working with individuals, small groups and whole classes where the assigned teacher is not present.
  • Support teachers in selecting and preparing teaching resources that meet the pupils’ needs and interests. Liaise with the class teacher to devise complementary learning activities.

Support the teacher by:

  • Monitoring, assessing and recording pupils’ work as directed by the teacher.

Support the school by:

  • Taking responsibility for securing the maintenance of specific equipment in school and to have responsibility for specific aspects of health and safety.
  • To have skills which can be utilised in class such as gardening, drama, display, craft etc.
  • Being aware of the school’s policies and procedures.
  • Being aware of confidential issues linked to home/pupil/teacher/school work and to keep confidences as appropriate.
  • Assisting with out of school activities such as open days, school performances etc.

Position: Laboratory Assistant
Reporting to: Head of Science

1. JOB SCOPE

Job-holder is responsible to provide technical support to teaching staff in the School laboratories, classrooms and preparation areas. He/she is expected to take responsibility for the laboratories and its contents (such as furniture, equipment and consumables). He/she is also charged to ensure the safety of the laboratory, upkeep and maintenance of all equipment, and up-to-date tracking and replenishing of stock.

The job-holder is required to communicate with the Science Teachers regarding their requirements, so as to facilitate getting the laboratory and the required equipment and materials ready on time. He/she is also expected to support the Science Teachers in attending to students during laboratory sessions.

2. REPORTING STRUCTURE

Job-holder reports to the Head of Science.
The positions of employees who report directly to the job-holder include:

  • Nil.

3. PRINCIPAL RESPONSIBILITIES AND ACCOUNTABILITIES

Individual responsibilities and accountabilities

A. Laboratory preparation and operations

  • Prepare laboratory and equipment for practical and demonstration classes as instructed.
  • Keep laboratory and equipment clean, in good condition and well organized.
  • Keep inventory of stock, identify needs and make requisition for materials on time.
  • Follow safety and health regulations, especially in the disposal of hazardous materials.

B. Teaching support

  • Assist teachers in the laboratory, as necessary, for the purpose of supporting them in the completion of their work activities.
  • Assist teachers in the supervision of the students for the purpose of providing a safe and positive learning environment.
  • Assist teachers to develop standard operating procedures for laboratory experiments and maintenance routines, for the purpose of ensuring a safe and effective work environment.

C. Physics and General Science Laboratory

  • Be familiar with use and maintenance of laboratory equipment.
  • Identify defects in equipment and carry out minor maintenance, and where possible, record and report need for maintenance to Head of Science and Facilities Management Department.

D. Chemistry & Biology Laboratory

  • Be familiar with use and maintenance of laboratory equipment.
  • Identify defects in equipment and carry out minor maintenance, and where possible,
    record and report need for maintenance to Head of Science and Facilities Management Department.
  • Prepare chemicals and solutions as required.
  • Prepare specimens (biological) as required.
  • Maintain the security of the laboratory and all its affairs including, but not limited to preparation for examinations.

E. Administrative.

  • Conduct general office duties.
  • Maintain and control administrative documents.
  • Handle correspondence, prepare documents and maintain filing system and other duties as instructed.
  • Submit administrative reports as requested by Head of Science and Senior Management.

F. Organizational

  • Maintain a professional relationship with employees, customers and auditing or accrediting bodies.

From time to time, job-holder may be required to perform tasks as assigned by Head of Science and Senior Management.

Shared responsibilities and accountabilities (if any)

A. Work with other Laboratory Assistants to provide efficient and effective support to facilitate laboratory operations and activities.

4. REQUIRED COMPETENCIES

Education

  • Minimum high school (or at least 12 formal years of education) or diploma qualification.
  • A tertiary qualification in an appropriate field would be beneficial.

Knowledge

  • Knowledge of how the education industry operates, and has a good understanding of the key business drivers.
  • Knowledge of the various educational programmes and system is preferred.
  • Knowledge of health standards and hazards, as well as safety practices and procedures.
  • Knowledge of proper handling of hazardous materials and laboratory equipment.
  • Possess good IT skills and knowledge, and is proficient in Microsoft Office applications such as Excel, Powerpoint, Word.

Experience

  • At least 2 years of relevant working experience.
  • Preferably with at least 1 year of related working experience in international school or tertiary education environment.
  • Previous experience as a Laboratory Assistant is preferred.
